The Tier II Shared Service Center (SSC) Onboarding & Compliance Specialist serves as the point of contact for the SSC within their area of specialty or assignment. The Specialist is responsible for receiving, routing, resolving, and properly closing all Baylor Scott & White Health (BSWH) HR inquiries within their specialty or assignment in an accurate and timely manner. The Specialist partners with their Managers to regularly review performance outcomes against Service Level Agreements (SLAs) and Key Performance Indicators (KPIs); identify areas of individual and team professional development. Interacts cross functionally with SSC, Centers of Expertise (COEs) and HR Business Partners (HRBPs), Human Resources Information Systems (HRIS) and various departments within BSWH to ensure handoffs, communication and interactions are customer focused, seamless and delivered with high quality.
The Tier II SSC Onboarding & Compliance Specialist assists new hires with navigation through pre-employment ensuring activities are completed in a timely manner; performs quality data review of information interfaced from the recruitment application to the HCM (PeopleSoft), resolving errors where applicable; schedules new hire for orientation advising all necessary parties for a seamless; notifies recruiter and hiring manager should a new hire fail any pre-employment activities requiring an offer to be rescinded; and oversees the renewal of licensure and certification processes.
Receives, routes, resolves, and properly closes all BSWH HR inquiries; collaborates with appropriate SSC leadership/staff, COEs, HRBPs, HRIS, or third parties to resolve complex inquiries or transactions; accurately enters data into appropriate computer applications/databases, receives and scans paper-based personnel forms; uses the case management tool to accurately capture, track, and follow-up on inquiries; participates in system testing and identification of system and user-interface issues; and performs daily review of open case cues to ensure inquiries/requests are being assigned, resolved and closed properly.
Continuously reviews SSC knowledge base to maintain working knowledge of HR and Payroll Operations; constantly seeks additional opportunities to improve the quality, efficiency and effectiveness of individual and team work; seeks feedback, continuously learns, and takes advantage of opportunities to improve knowledge, skill, and experience.
The ideal Tier II SSC Onboarding & Compliance Specialist candidate will have a working knowledge of pre-employment activities (i.e. Background checks, education checks, employee health screenings); knowledge of healthcare jobs licensure and certification requirements; strong customer service skills; ability to work in a fast paced environment while maintaining accuracy and production requirements; and ability to use and navigate through multiple computer applications/databases to enter job data changes and personal data changes as well as to research and log customer inquiries (i.e. PeopleSoft, Oracle Could, ServiceNow).
The ideal candidate will have excellent interpersonal, listening, verbal and written communication skills; ability to build strong cross functional relationships and interact effectively with all levels of staff and management; must be detail oriented, a self-starter and work well independently with limited direct supervision; and ability to set and achieve goals on time
Prior PeopleSoft, Oracle Cloud and/or Service Now applications experience highly desirable
