Position Summary:

In this role, the successful candidate We have an exciting opportunity to join our team as an Administrative Supervisor.
In this role, the successful candidate will be responsible for providing administrative oversight of patient intake operations and intake staff. Offers strong organizational skills, is an innovative and creative problem solver and able to work successfully and independently. Coordinates with the Assistant Director on all projects specific to and consistent with daily operations of Child Study Center (CSC) patient flow systems. In addition, in conjunction with the Faculty Group Administrative Practice Managers, develops policies and procedures, implements new processes (help to accomplish quality of care and patient access goals, as well as develop training/education programs and implement reporting mechanisms) and monitors compliance to established guidelines.
Job Responsibilities:
Supervises, plans, and manages the functions related to patient intake operations across all CSC sites.
Carries out supervision, coaching, call monitoring, and training as needed.
Responsible for all personnel related activities, with the authority to hire, evaluate, discipline and terminate.
Delegates assignments efficiently and monitors them through completion, defining expected outcomes and time parameters to employee. Distributes assignments equitably and allocates resources appropriately. Establishes administrative procedures to be followed on on-going basis.
Creates office staffing schedules and ensures they meet the needs of the practice by reviewing and approving staff vacation schedules, developing alternate coverage plans during staff absences. Acts as back-up coverage as needed.
Assures compliance with all institutional/FGP policies, procedures, and processes
Acts as the primary liaison between the FGP call center and practice management. Coordinates best appointment option for patient with practice management, and follows up with patient to confirm appointment
Provides recommendations and concierge services for escalated calls to provide patients with a sooner appointment, or appointment that meets the patients needs.
Keeps up to date with clinical services provided by the CSC to appropriately guide new patients and refer as appropriate.
Attends weekly case conference with clinicians to further develop understanding of patient care services and potential complexity with cases
Manages the new patient wait list for timely intake completion and works closely with CSC Clinical Directors to determine clinician availability and appropriate assignment.
Researches and analyzes data related to physician templates and cancelations, identifies opportunities for improving patient access, and scheduling
Monitors patient, provider, and front-end feedback and raising concerns and questions to the Practice Manager and Assistant Director as appropriate.
Provides basic to moderate coordination for project activities to the FGP Assistant Director as appropriate.
Demonstrates initiative and self-direction; can apply knowledge and make sound judgments to effectively resolve issues or concerns
Monitors and communicates performance standards to the team, and performs evaluations in a fair and consistent manner
Conducts regular team meetings to communicate issues or changes in policies or procedures, and maintain accessibility for one-on-one communication
Coordinates the integration of pre-registration, pre-certification insurance verification and medical necessity checks for all patients
Works closely with FGP Office and web team to ensure that appropriate equipment is functioning properly for appointment scheduling. Trouble shoots to recommend appointment system enhancements
Assists in training office personnel for front-desk, reception, and billing activities.
Resolves employee issues and addresses procedure and performance related issues.
Interacts with other departmental staff for the purpose of enhancing the delivery of care
Attends meetings, prepares minutes and participates on committees as requested.
Maintains accurate, well-organized, up to date files for retrieval of needed documentation.
Receives, compiles, classifies, reconciles and consolidates data from varied sources.
May be asked to perform other varied functions.
Minimum Qualifications:
To qualify you must have a To qualify you must have a Bachelors Degree in Psychology with a minimum of 1-3 years of relevant work experience or equivalent combination or training and relevant work experience. Knowledge of physician billing and coding. Ability to work in a fast paced multi-physician practice environment. Good communication, interpersonal and computer skills. Ability to develop and maintain effective working relationships with physicians, staff and patients.
