Overview
The Payroll Specialist works collaboratively with the Payroll, Benefits, and Compensation departments. This role supports payroll processing for Northwest Permanente Physicians and Staff as well as administering several of our special payment programs. The Payroll Specialist serves as the primary back-up for others on the payroll team and plays a key support role on scheduled and ad-hoc projects.

Responsibilities
Major Responsibilities / Essential Functions
Payroll Support
- Researches and responds to payroll related questions/requests via email & phone in accordance with company policies and escalates to senior team members as needed
- Responds to employment verification requests
- Serves as primary back-up for others on the payroll team as needed
- Updates and maintains employee payroll records
- Works on scheduled and ad-hoc projects as assigned
Bi-weekly Payroll Processing
- Reviews and enters updates within the timekeeping and payroll system
- Compiles, tracks, and prepares special pay elements prior to payroll processing
- Reconciles designated payroll totals
Administers special payment programs
- Assists in tracking participant eligibility across 15+ programs
- Performs regular audits to ensure data integrity across designated programs
Qualifications
Minimum Education
- High School Diploma or GED
Minimum Work Experience
- Minimum two (2) years progressively responsible experience in payroll, HR or accounting
Additional Requirements
- Advanced understanding of Microsoft Products and Excel including formulas (such as VLOOKUP, pivot tables, etc.), as well as data analysis functions
- Thorough knowledge of federal and state wage and hour laws and regulations, HR principles and practices, system design and automated systems design and use
- Strong analytical and problem-solving skills
- Strong communication (oral and written) and interpersonal skills
- Demonstrated ability to administer and evaluate policies, practices, and systems
Preferred Education
- Four (4) years progressively responsible experience in payroll, HR or accounting
- Experience with Ultimate Software products: UltiPro and Ultimate Time and Attendance
