The primary purpose of this position is to provide coordination, organization, and timely procurement of specialty materials, supplies, instrumentation and equipment for the various areas within Perioperative Services. The Coordinator has knowledge of GPO contracts and orders supplies and materials within these contracts whenever possible. The Supplies and Materials Coordinator is the departmental resource for the acquisition of supplies, services and equipment, inventory par levels and inventory control. This position is the primary liaison with vendor representatives for purchased, leased and trial supplies and equipment for Perioperative Services, working closely and in collaboration with the Materials Management Department, Perioperative Administration and staff and the Perioperative Specialty Surgeons/Proceduralists.

Position Responsibilities:

• Coordinates and initiates supplies, materials and equipment specialty orders via materials management protocols, requesting Charge Description Master Numbers (CDMs) as necessary.
• Demonstrates knowledge of the ordering process and appropriate charging procedures for all specialty supplies and materials. Issues purchase requisitions from appropriate cost centers
• Coordinates and schedules equipment rentals, loan borrow process between facilities, and procurement of one time use items, with appropriate tracking documentation.
• Utilizes GPO contracts to assist in cost containment, and encourage product standardization.
• Provides leadership for annual inventory process by coordinating time-lines, providing count sheets with assistance from specialty leaders and clinical coordinators. Organizes the Perioperative Services inventory process.
• Establishes, coordinates and maintains utilization and inventory levels of specialty supplies within Perioperative Services.
• Collaborates with management, clinical coordinators, and specialty leaders for appropriate selection of products.
• Assists Perioperative Specialties with tracking of product evaluations
• Schedules and meets with vendor representatives relative to Perioperative Services, supplies, instrumentation, and equipment. Acts as a liaison for vendor interactions with clinicians.
• Monitors vendor and FDA recall of equipment and supplies.
• Orders, tracks, and monitors implantable devices and surgical bone and tissue.
• Complies with Materials Management provided product recalls, returns, and outdates. Maintains records of product recalls and product problems to assure accurate tracking and compliance with regulatory agencies. Notifies appropriate personnel of recall and resulting action taken.
• Tracks and orders capital equipment and supplies for Perioperative Services to include repair and replacement of equipment and instrumentation.
• Assists in preparation of departmental annual and capital budgets as they related to supplies and equipment.
• Maintains equipment and supply files, capital equipment requests and equipment operating manuals
• Actively participates in NCH New Product Selection Committee.
• Reviews OR charges daily for accuracy.
• Acts as a steward of resources.
• Accountable for continually implementing and demonstrating patient safety in all assigned duties. Demonstrates active participation in processes that support the JCAHO National Patient Safety Goals. Accountable within appropriate scope of practice to ensure that the safe delivery of healthcare services is maintained on an ongoing basis.

Position Requirements:

• One year of specialized training beyond high school required; Associates degree preferred
• American Heart Association BLS required
• Knowledge of Lawson procurement suite software preferred
• Certified in national organization i.e. AAMI, ISM, AHRMM, CBSPD, CST preferred
• Minimum of one year experience required; Extensive Perioperative Supplies and equipment experience, knowledge of surgical procedures and background in procurement processes
